 Rental Information

Aspen Brook is a planned unit development with a Homeowner's Association and many permanent residents.  This affords the privacy and quiet setting of staying in your own home.  All restrictions and rules of the Homeowner's Association must be observed by everyone, including guests.

 

The houses rented at Aspen Brook are privately owned, second homes. The decor, furnishings, etc. are a reflection of the owner's taste and the type of vacation setting they prefer. Based on our conversation with you when making a reservation, we will do our best to match your needs to the most appropriate house.

 

Each home is furnished by its owner.  It has sheets, towels, bedding, table service for the maximum number of people permitted in the house, pots, pans, and small appliances needed for usual cooking.  Aspen Brook will not be able to add to the furnishings.  If you have questions about what is in the house, you should ask prior to your arrival so that you can arrange to bring any items you need that are not provided by the homeowner.

 

All homes have at least 3 bedrooms, 2 bathrooms, fireplace, washer and dryer, cable TV, a complete kitchen with a stove, refrigerator, microwave, dishwasher, and a deck with a gas grill.  We also offer either a VCR or DVD player in each home.  The Hibner Cabin is an exception to the above, offering only one bathroom.  Hi-speed wireless Internet is available in most homes.

 

Some of the larger homes can accommodate more people, have more bedrooms, bathrooms and other amenities such as additional fireplaces, whirlpool tubs, garages, and location right along the river.

 

Two of our larger homes offer private hot tubs.  Please read our Hot Tub Agreement for rules specific to using these private hot tubs.  The homes that offer these are:

All houses have telephones for local telephone calls; any long distance calls must be charged to a calling card, the renters credit card or home phone number. 

 

We rent these homes with the expectation that they will be cared for as if you were a guest in a friend’s home.  Smoking is not permitted inside the homes or anywhere on Aspen Brook property.  Please be sure all members of your group are aware of this!!  Thank You!

 

Aspen Brook offers a community picnic and recreation area.  The use of this area is restricted to guests staying on Aspen Brook property.  You will find an outdoor volleyball court (the volleyball is available at the office), horseshoe pits (horseshoes are at the picnic area), a stone charcoal grill, 2 picnic tables, a children's playground and a campfire pit built up on a large, round stone base with several log benches surrounding it.  The campfire pit should be reserved through our office if you prefer to have the privacy of only your group using it for a certain evening.  The campfire and picnic areas are open from 9am to 9pm. 

 

You will find convenient access to miles and miles of hiking trails right across the road from Aspen Brook.  The border of Rocky Mountain National Park is just across the road ~ Please visit us at the office for more information about access to those trails.  You will also find that you can reach the YMCA of the Rockies via those trails as well. 

 

Aspen Brook Investments, Inc. represents the owners of the homes we rent as an owner's agent. Renters or tenants are our customers. As agent of the owner, we have duties to represent the owner in accordance with terms in a management contract that exists between that owner and Aspen Brook.  As a customer, you have substantially the same rights that you would have with any business from which you purchase goods or services.

 
Aspen Brook Vacation Homes Cell Phone Service
 
Cell phone service is difficult because a mountain is between Aspen Brook and the cell towers.  Service will be available at most locations in town.
 
Aspen Brook Vacation Homes Wireless Internet Service
 
Wireless Internet service at Aspen Brook is also difficult -- It is difficult to transmit a signal through and around trees and rocks, deal with elevation variations, as well as weather conditions.  There are other alternatives in town that you can access; the coffee shops and the library are two places available.  We do our best to provide signal, but not all locations in every house will have the same strength signal.
 
Aspen Brook Vacation Homes Shipping Policy
 

With the new luggage policies of the airlines we are experiencing a large number of guests wishing to ship their goods to Aspen Brook prior to their arrival. The handling and storing of boxes has presented a challenge for us both prior to arrival and after departure. We simply have neither the personnel nor the space to deal with these packages.

 

The UPS store in Estes Park is quite happy to offer this service. If you have your boxes sent to the store at 453 E. Wonderview Avenue, Estes Park, CO 80517, they will store them for you until you arrive. They ask that you call them ahead of time so that they will be prepared to accept them. Their number is 970-586-1954.

 

If you ship back out of the store, there is no charge for this service. If you do not, then you will be charged a one time fee of $1-10, depending upon the size of the box(es).

 
Aspen Brook Vacation Homes Cancellation Policy
 

 

Most of our regular guests make reservations one year or more in advance. Particularly in the Peak Season we have to turn away many requests for reservations because our homes have been reserved. It is ironic that when we have a cancellation, particularly close to the arrival time, a house that may have had many requests for reservations sits empty because of the cancellation.

As a result, our cancellation policy is written to discourage those who would make a reservation without being completely committed to honoring their contract with us. If you believe that your plans may change, we highly recommend trip insurance.  Travel Guard is one source of this insurance.  We have no connection with them.  They may be contacted at: TravelGuard.com/ASTP or 877-249-5376.

There are two payments required of those who wish to make a reservation.

 

1. One is a deposit of 30% of the rental total before taxes

This payment is due when the reservation is made and is required before a confirmation is issued.

The following chart describes our refund policy in detail for each of our three seasons for this 30% deposit:

If any day of a reservation is in Peak season, the reservation will be considered in the Peak season. If any day of a reservation is in the Off Peak Season and the balance is in the Off Season, the reservation will be considered in the Off Peak Season. The Definitions of Peak Season, Off Peak Season and Off Season can be found on the Aspen Brook website:  www.aspenbrook.com  under properties.

 

If a reservation is partially cancelled, the deposit will be forfeited according to the above chart pro rata based on the number of days cancelled.  That is, the deposit will be allocated equally to each day reserved and that portion of the deposit allocated to those days that are cancelled will be forfeited or partially refunded according to the chart above.  In addition, there will be a $50 administrative fee charged for the partial cancellation.

 

You agree to pay for the accommodations in full for the period confirmed, regardless of LATE ARRIVAL or EARLY DEPARTURE.

 

In the event the deposit cancellation policy is unacceptable, you can cancel the reservation without penalty within 10 days of the date of the confirmation of the reservation.

2. The second payment is for the remaining balance and is due 30 days before your scheduled arrival/check in date.

 

This payment is not a deposit to secure a reservation. It is a final payment on the Rental Contract. Thirty days prior to your arrival/check-in date, the entire amount due on the Rental Contract becomes non-refundable for any reason whatsoever.  If cancellation occurs 30 days or less in advance of your arrival/check-in date, no refund wil be made of any funds received in connection with the reservation.  If you do not cancel or pay the full balance due more than 30 days prior to your arrival/check-in date and we are unable to rent the Home during your reserved time period, you will be obligated to pay the full balance due upon demand.  Again, we highly recommend you obtain trip insurance.

 

* If a reservation is made 30 days or less before your scheduled arrival/check-in date, there will be only one payment for the entire amount.  It will be a final payment on the Rental Contract and will not be refundable in whole or in part for any reason whatsoever.

 
 
Rules as Required by Restrictive Covenants
 
  1. Smoking and Pets are not allowed on Aspen Brook property.
  2. Fireworks or Firearms in any form are not permitted.
  3. Destruction of trees, plants, or animals is not permitted. You may not pick wild flowers. It is against the law.
  4. There are two parking spaces (for cars not trucks) reserved for each home. If you require additional parking, contact our office.
  5. Garage doors are to remain closed at all times, unless moving a vehicle in or out.
  6. There will be NO camping on Aspen Brook Property.
  7. Nothing may be erected or attached to the outside of the house including decorations, signs, banners or clotheslines.
  8. Motorcycles, campers, mobile/motor homes, ATV's, snowmobiles, trailers, etc. may not be parked or driven on Aspen Brook property.
  9. Loud music or activities that interfere with others are not permitted.
  10. The posted 15-MPH speed limit must be obeyed.
  11. Guests and their children must stay on the roads of Aspen Brook and not cut through other yards.
  12. The picnic area is reserved for Aspen Brook guests from 6pm - 9pm through the Aspen Brook office. The fire must be extinguished and all trash removed after use. The fire pit is subject to a county fire ban.
  13. The playground area is open from 9am - 9pm. Children must be accompanied by an adult. This applies to the areas along the river as well. Use is at your own risk. All posted rules must be obeyed at all times.
